Create a Reservation Type

The rules and limitations that govern how customers place a reservation are determined using Reservation Types. These reservation types are created and managed from the FullCount Back Office.

Create a Reservation Type

To create a reservation type, follow the steps below:

  1. Select the Community button.
     
  2. Select the Reservations tab.
     
  3. Choose the Reservation Types subtab.
     
  4. Click the New Reservation Type button.
     


 

Effective Period

The Effective Period date-and-time rules govern when and how a reservation can be placed.

*NOTE: Fields with an asterisk (*) are required.

  1. Identify the new reservation type using the follow fields:
  • Name* – Enter a name for the reservation type as it will appear in the Back Office.
  • Screen Name* – Enter a name for the reservation type as it will appear in FullCount Engage and on the Touchscreen.
  1. Assign the reservation type to a Department from the drop-down options.
     
  2. Enter the following effective period date and time parameters:
  • Start Date* – On the selected day, reservations can be made using this type’s rules.
  • End Date – On the selected day, reservations can no longer be made using this type’s rules.

*NOTE: An end date is typically not entered on a new reservation type.

  • Start Time* – Select the beginning of the time range for available reservations.
  • End Time* – This field should equal the last available reservation time plus the time slot frequency minutes. (See the note below.)
  1. Enter a Time Slot Frequency window (in minutes) to determine the time between each reservation.

*NOTE: A time slot will not be available if its frequency window extends past the end time. For example, with a time range of 5-7pm and a frequency of 30 minutes, the last available time slot will be 6:30pm. Any 30-minute time window after 6:30pm extends past the 7pm end time and, thus, will not be available to reserve.

  1. Limit how far in advance a reservation can be made by entering a number and selecting a unit of time (days, weeks, months, or years) from the drop-down options.
     
  2. Select which days of the week reservations are available using the drop-down menu.
     


 

Optionally, reservations can be restricted on days within the effective period range (such as holidays) using the Excluded Dates section.

  1. Click the Add button.
     
  2. Enter the desired date or select one from the virtual calendar.
     


 

Setup

The Setup rules cover additional limitations and on-screen organization.

  1. Enter a Number Allowed to limit how many seats can reserved per time slot.
     
  2. Choose a Sort Order to determine where this reservation type will appear among other types in the same department.
     
  3. Fill in one of the following reservation placement fields:
  • Due By – Enter how many minutes before the desired time slot a reservation must be submitted.
  • Cutoff Time – Enter a time of day before which a reservation must be submitted.

*NOTE: Both the due by and cutoff times will only affect same-day reservations.

  1. Choose a Seat Auto Action from the drop-down options to determine what will happen when a reservation is seated from the Touchscreen:
  • If None is chosen, the reservation will be cleared, and no further actions will occur.
  • If Start Order is chosen, the reservation will be cleared, and the Touchscreen will automatically begin a new order based on the parameters set below.
  1. Limit how late a reservation can be edited or cancelled by entering a number and selecting a unit of time (minutes, hours, or days) from the drop-down options.
     


 

Seat Auto Actions

The Seat Auto Actions will only be available if Start Order is selected above. (See step 16.) This section configures how a new order is created when a reservation is seated.

  1. Select a New Order Dine-In/Out option from the drop-down menu:
  • Choose Defer to Mode’s Normal Behavior for the Touchscreen to default to the regular order creation process for the automatically generated order.
  • Choose Ask to force the Touchscreen to prompt the server to select a Dine-In or Dine-Out option for the automatically generated order.
  • Choose Dine-In Only to automatically generate a Dine-In order.
  • Chose Dine-Out Only to automatically generate a Dine-Out order. The server may need to choose a Dine-out option if two are available in that department.
  1. Select a New Order Number of Customers option from the drop-down menu:
  • If Defer to Mode’s Normal Behavior is chosen, the automatically generated order will add seat options based on the regular order creation process.
  • If Number of Customers on the Reservation is chosen, the automatically generated order will add seat options based on the reservation’s party size.

*NOTE: With either option, server will still be able to add seats manually if needed.

  1. Select a New Order Seat Assignment option from the drop-down menu:
  • Choose None to begin the automatically generated order without customers on the first seat, as with a typical order.
  • Choose Customer Who Made the Reservation to automatically add the reservation’s submitter (via FullCount Engage only) on Seat 1.
  1. Choose if the new order should Prompt for Order Owner when seated. Select Yes if the employees who will seat reservations are not themselves servers (ex. hosts/hostesses).
     


 

Customer Communication

The Customer Communication rules enable email notifications to customers who submit reservations through FullCount Engage.

*NOTE: Residents must register an email address to receive email notifications.

  1. Choose whether to send residents an automated Reminder Email before the requested reservation time.
     
  2. If the Send Reminder Email field is set to “Yes”, enter a Reminder Time in minutes.
     
  3. Choose whether to send residents an automated Confirmation Email after a reservation has been submitted.
     
  4. Choose whether to send residents automated Update Emails when a reservation is updated or cancelled.
     
  5. Optionally, add a community Email Message to the automated email, such as community contact information for resident questions.
     


 

FullCount Engage

The FullCount Engage rules manage residents’ options and accessibility.

  1. Choose whether this reservation type is available through the FullCount Engage application. If set to “No”, reservations can still be created from the Back Office or Touchscreen.
     
  2. Choose whether to Allow Special Requests from residents submitting reservations.
     
  3. Fill in the Max Per Day field to limit the number of active, daily reservations per resident.
     
  4. Fill in the Max Active field to limit the total number of active reservations per resident.
     
  5. Enter a Max Party Size to set a cap on the requested number of seats per reservation.
     
  6. Add a Description to help residents when selecting a reservation type. (Max of 255 characters)
     
  7. Add a Special Request Prompt as a note on the Special Request window. (Max of 255 characters)
     


 

  1. When all required fields have been filled, click Save and Close.

The new reservation type will be available for reservations on the selected start date. See the articles on creating a reservation in FullCount Engage, from the Back Office, or on the Touchscreen for more instructions.
