Set Up an Item Countdown from the Back Office

An Item Countdown places a quantity limit on a menu item and warn servers on the Touchscreen as the item limit decreases. Item Countdowns can be applied to items from both the Back Office and Touchscreen applications.

Set Up from the Back Office

To set a countdown on an item from the Back Office:

  1. Select the Admin Center button.
     
  2. Select the Item Management tab.
     
  3. If it is not selected by default, choose the Items subtab.
     
  4. Find the desired item and click the Details button to the left.
     


 

  1. Click the Item Countdown Settings banner to expand the section.
     
  2. Enable the Use Item Countdown field using the drop-down menu.
     
  3. Fill in the countdown information that should take effect immediately:
  • Current Countdown Quantity – Enter the number of servings/units currently available for customers to order.
  • Warn when remaining Quantity is – Set the number limit at which point servers will be shown the amount of remaining servings/units for this item. Servers will only be shown this warning if they select the item on the Touchscreen.
  1. Choose an Item Countdown Reset Rule:
  • Never – This option will count the item quantity down to (and then remain at) zero until the number is manually reset from the Back Office or Touchscreen.
  • Disable at End of Day – If this option is chosen, all countdown values and warnings will turn off at the end of the day, and the item will function as normal moving forward.
  • Daily – This option will reset the item countdown every day to the daily reset quantity value below.
  1. If the reset rule above is set to Daily, enter the Daily Reset Quantity. The countdown will default to this number at the beginning of each day. This field will not be enabled if another reset rule is selected.
     


 

  1. Click Save and Close.

The item countdown is now active. Servers will be prompted with a warning when the remaining quantity limit is reached. See the section below to view examples of these warnings

Countdown Warnings

When an item countdown hits the warning limit, the item button will turn yellow on the Touchscreen. Servers who then select the item will begin receiving the Warning below.

When the item countdown reaches zero, the item button will turn red. Servers who select the item will receive the Alert below. They should immediately check to see if the item has truly run out. If the item is still available, servers will always be able to select Yes to add the item to an order. If the item is no longer available, click No to return to the menu.
