End Date a Resident

End Date a Resident

If a resident moves out of your community or passes away, the resident’s FullCount information must be end dated in the Back Office. End dating a customer prevents further charges to the account while also saving past information for future use. Any meal plans the resident has must also be end dated.

*NOTE: Each resident will only ever need a single customer page. If the resident is still an active customer and is merely changing care levels, see the instructions HERE.

End Date a Customer

To end date a resident’s customer page, follow the steps below:

  1. Select the Admin Center button.

  2. Select the Customers tab.

  3. If it is not selected by default, select the Customer Information subtab.

  4. Search for the desired resident by last name.

  5. Enter the resident’s date of departure in the Effective End Date field.

  1. Click the Save button on the Customer Information page.

The resident is now inactive within FullCount and can no longer be searched from the Touchscreen. If the resident had an active meal plan, see the instructions below.

End Date a Meal Plan

To end date a meal plan, do the following steps:

  1. Select the Admin Center button.

  2. Select the Customers tab.

  3. Choose the Accounts subtab.

  4. Search by last name for the inactive resident.

  5. Enter an Effective End Date for this plan.

  1. Click the Save button on the Accounts page.

This meal plan account is now inactive. The plan will no longer generate dollars/meals/points, carryover these amounts into future cycles, or affect billing reports.

Create a New Plan for a Remaining Spouse

If the inactive customer shared a meal plan with another resident, a new meal plan should be created for the still-active resident. To creating a new meal plan, follow the steps below:

  1. Select the Admin Center button.

  2. Select the Customers tab.

  3. Choose the Accounts subtab.

  4. Click the New Account button.

*NOTE: New plan Account Numbers are automatically generated by FullCount.

  1. Select the desired Plan from the drop-down menu.

  2. Enter the Effective Start Date.

*NOTE: Meal plans for a single resident cannot share dates. This new plan must begin the day after the old plan was end dated. (For example, if the old plan was end dated for May 31st, the new plan cannot begin until June 1st.)

  1. Search for the Customer by last name.

  2. A Billing ID will auto-populate from the resident’s charge account. If it does not, manually enter one for the resident.

  1. Click Save and Close.

The resident’s new meal plan is now created. If dated correctly, the resident should not loose coverage between plans.
